Background

Current Dunedin-based teaching is heavily clustered from 9:00am–3:00pm, Monday to Thursday. The heavy clustering comes from the fact that much of the timetabling is devolved to staff in academic departments, programmes and schools on the Dunedin campus. Academic areas determine their teaching needs and specify the day of the week and time of day for classes. While students taking papers in one academic area will generally have a clash-free timetable, it is common for students taking papers across disciplines to experience timetable clashes.

Timetable clashes prevent students from being automatically approved by eVision during enrolment. Each timetable clash needs to be assessed by a staff member as part of the enrolment process with work being undertaken by Student Experience staff (Tier 2) and Academic staff (Tier 3) approval levels.

Equally, the heavy clustering of the teaching timetable creates pressure on teaching spaces at the preferred teaching timeslots times but means that outside the preferred timeslots teaching spaces can be underutilised. The clustering also results in space inefficiencies.

Terms of Reference

The Teaching and Timetabling Committee reports to the Senior Leadership Team:

  1. to monitor centrally-controlled and departmentally-controlled teaching space utilisation and provide recommendations on the most effective use of our Dunedin-based teaching spaces.
  2. to ensure a more student-focussed teaching timetable that allows the minimum number of timetable clashes.
  3. to advise on the academic considerations to be taken into account in the preparation of the University's teaching and examination timetables.
  4. to advise on the academic considerations to be taken into account in computerised procedures for recording student enrolment and placing students in particular teaching streams.
  5. to advise on the academic criteria for the allocation of teaching rooms to ensure that these facilities are utilised to the best advantage.
  6. to advise on shared (‘pooled’) teaching space requirements including the need for new shared teaching spaces or redevelopment of existing shared rooms due to changing academic requirements.
