Leave & Holidays
All types of leave are subject to formal approval, and should be discussed with your Manager at the earliest possible time.
Booking Leave
Booking Annual and Sick Leave
Most staff can book their Annual Leave or Sick Leave via the Staff Web Kiosk. Requests will automatically route to the appropriate approver, following which you will receive an outcome email.
Part time, or Full time with a Roster?
Please do not book sick leave via the Staff Web Kiosk if you work part time or full time with a roster. Please complete a paper sick leave form instead.
Sick leave of less than 2 hours during the day does not need to be booked.
Booking Long Service Leave
Long service leave is applied for via the Staff Web Kiosk.
The exception to this process is for those covered by grand-parented LSL provisions. Due to their complexity a manual application process is required – Grandparented Long Service Leave Application Form.
Booking Other Leave
Please refer to the relevant leave entitlement link below.
Reversing Leave / Leave Bookings
If leave bookings have been made and approved via the Staff Web Kiosk but you later decide to not go on leave, or come back earlier than expected, you should complete a leave reversal request:

The University observes Easter Tuesday in lieu of Anniversary Day in Otago.
In the event of a public holiday other than Waitangi Day or Anzac Day, falling on a Saturday or Sunday, the public holiday shall be observed on the following Monday and, in the event of another public holiday falling on that Monday, such other holiday shall be observed on the following Tuesday.
If you are required to work on a Public Holiday, please refer to your employment agreement to find out about what you are entitled to.
All casual staff, whether academic or general, will only be paid for a Public Holiday not worked, where it falls on a day you would normally have worked under an established pattern of work. If you are required to work on a Public Holiday you will be paid normal pay for time actually worked plus half as much again. In addition, if the day is a day you would normally have worked under an established pattern of work, you will receive an alternative paid holiday as provided in Holidays Act 2003.
Christmas and New Year Holiday Arrangements
Where practicable departments are expected to be closed for the entire duration of the period between Christmas and New Year in order to allow an opportunity for staff to enjoy an extended break from work.
