Subject to any provisions applying to a specific University of Otago Entrance Scholarship (as set out on the relevant scholarship website) and subject to provisions contained in the letter of offer, the following general terms and conditions apply to each University of Otago Entrance Scholarship:

  1. A scholarship application must normally have been received by the University of Otago by the due date.
  2. Scholarships are normally for first-time at University-level study, and first year (100-level papers) of full-time (0.9 or more EFTS), full-year degree-level, undergraduate study. (Full-time, full-year normally includes Semester One and Semester Two, but does not include other study periods, such as Summer School).
  3. Scholarships are normally for a Semester 1 start.
  4. Payments of one year tenure scholarships are normally made in Semester 1 as a contribution to Residential College or University Flat fees. Recipients who are not resident in University of Otago owned or affiliated Residential Colleges or University Flats but are eligible for Fees Free may have payment terms specified in their letter of offer or in further correspondence with the University of Otago.
  5. Payments of one year tenure scholarships for recipients who commence their full-time study at the University of Otago in Semester 2 and intend to enrol in full-time study at the University of Otago in Semester 1 in the following year will normally receive half the scholarship amount as a contribution to Residential College or University Flat fees. The remaining half of the scholarship will be received when full-time study commences in Semester 1 of the following year. Recipients not resident in University of Otago owned or affiliated Residential Colleges or University Flats may have payment terms specified in their letter of offer or in further correspondence with the University of Otago.
  6. Recipients of Undergraduate Entrance Scholarships and University of Otago Dux Scholarships, who have submitted an application for student accommodation by 30 September, and have been made an Undergraduate Entrance Scholarship offer in October, for scholarships that close on 15 August, are guaranteed an offer of place in a Residential College for their first year of study. The University does not guarantee placement in any of the recipient's Residential Colleges of preference.
  7. For Undergraduate Entrance Scholarships which have a closing date other than 15 August, recipients who have submitted an application for student accommodation before 1 February for their first year of study will have high priority for a place in a Residential College for their first year of study, though that priority does not extend to priority for placement at any of the recipient's Residential Colleges of preference.
  8. The Scholarship will usually be taken up in the year for which it is awarded, or for the years awarded for scholarships with a tenure of more than one year. However, students may apply in writing to the Manager, Undergraduate Entrance Scholarships, for permission to defer the scholarship for up to one year. Deferrals are unlikely to be granted where a recipient is studying at another tertiary institution at degree level prior to or during the scholarship tenure.
  9. Subject to the following, a University of Otago Entrance Scholarship may not be held concurrently with another University of Otago Entrance Scholarship. The University of Otago Dux Scholarship may be held concurrently with most University of Otago Entrance Scholarships, although the value of the award will vary from nil to its full amount, depending on the value of the other scholarship. The University of Otago New Frontiers Entrance Scholarship may not be held concurrently with other Entrance Scholarships such as Academic Excellence, any of the Alumni and Alumni Appeal group, the 150th, Performance, Māori, Pacific Peoples', nor the Leaders of Tomorrow Entrance Scholarships, unless the regulations for that Scholarship specifically allow concurrent tenure or the value of the other scholarship is $2,000 or less.
  10. Verification of eligibility for the Māori Entrance Scholarships or Pacific Peoples' Entrance Scholarships will be required prior to payment of the scholarship.
  11. In order to receive the benefit of a Scholarship, recipients must have obtained entrance to the University of Otago and admission to a degree programme at the University of Otago.
  12. Recipients must be enrolled and studying at degree-level at the University of Otago.
  13. Recipients agree to reasonable requests from the University of Otago to appropriately represent the University and the scholarship.
  14. If called on to do so, recipients of the University of Otago Performance or Callis Trust Performance Entrance Scholarships shall engage with the relevant University of Otago sporting club and give due consideration to playing for that club in preference to any other.
  15. Recipients of the University of Otago Performance or Callis Trust Performance Entrance Scholarships are required to communicate with the Manager, Entrance Scholarships in each year of tenure, reporting any performance activities.
  16. The University of Otago may, at any time, suspend or terminate the scholarship, or require the forfeiture of such proportion of the scholarship as the University of Otago may determine, if it is not satisfied that the recipient is not enrolled and studying full-time, full-year, and diligently pursuing a full-time, full-year programme or if the recipient has brought the University of Otago, the scholarship or donors into disrepute.
  17. Upon the termination of a student's enrolment for any reason, his or her withdrawal, or stopping study, entitlement to scholarship funding shall be cancelled. In such circumstances, the University may also require repayment (in part or full) of any scholarship payments already made.
  18. If, during the tenure of the award, a student withdraws from any paper(s) or their Residential College after the University's withdrawal deadline, entitlement to scholarship funding shall be cancelled and liability for relevant fees met from the Scholarship may reinstated and those fees recovered from the recipient.
  19. The receipt of a Scholarship will be noted on the recipient's University of Otago academic transcript. The recipient agrees to their award of a Scholarship being noted in the annual University Prize and Scholarship booklet and being disclosed within the University and to third parties for purposes reasonably connected with the Scholarship.
  20. The Residential College and tuition fees met from Scholarships under these terms and conditions will normally be the core fees for which the recipient is liable. Scholarships will not normally be able to be used for accommodation acceptance fees, insurance or other sundry fees and charges.
  21. Any variation or exemption of these Terms and Conditions must be approved by the Convenor of the Scholarships and Prizes Committee or nominee.
