Removal of Access to IT services for Former University Staff

Services Affected: All services

Audience: University staff

Description: Access to IT services (including email) for staff who leave the University of Otago is removed as follows:

  • the Staff Web Kiosk and staff email account remain available for five weeks after the person’s end date (as recorded in the HR Payroll system).
  • other services, such as Library services, buildings (door access via swipe card) and ITS Corporate Applications, access will be removed the day after the end date.

This is an automatic process driven by the date entered into the HR Payroll system. If ongoing access is required, please read the information on the ITS website as to what actions need to be taken.

A Business Objects report called “University Usernames with Termination Dates” has been developed to provide department administrative and IT support staff information about staff termination dates. It can also provide termination date information for external and role-based usernames. Please contact the ITS Service Desk to request access to this report.

Email has been sent to Academic Division Heads of Department and Service Division heads about this process.
