In this project update for the Support Services Review there are details about the staff information sessions, a summary of training and support available, current and upcoming vacancies, and appointments made. We also introduce newly appointed Director of Shared Services, David Tapp.

From David Tapp
David Tapp has now taken up his role as Director, Shared Services. David has significant experience managing shared services and has been busy getting up to speed with the shared services model being applied here at Otago.
Hi everyone, I'm delighted to have started the role and what a busy couple of weeks it has been learning the big stuff (eg SSR, how the University works, etc) and also lots of the small stuff (eg where are the spare pens kept).
My main focus over the next few weeks is to get out and about and meet as many people as possible and to continue the recruitment of Shared Services management positions currently vacant.
The implementation of AskOtago is now well underway; recruitment has commenced and you may have already noticed some changes happening in the ISB. The focal point of AskOtago will be located on the ground floor of the ISB and this redevelopment is expected to be completed mid-year. The IT workspaces that were located in this space are now located on the first floor of the library, and Student IT has been temporarily moved to the first floor during the redevelopment but will return to the ground floor once this work has been completed.
AskOtago is a multi-channel service (eg. online, phone and in person), and this hub will serve as the main reception for “in person” enquiries. It is in a central, high foot-traffic area and some additional student services e.g. student IT will also be co-located in this space. This will create an easily accessed, welcoming hub for students, staff and visitors to seek information. The goal is to make the customer experience as seamless as possible. The online and phone enquiries will be managed through the back office of ‘AskOtago” which will be located with the Shared Services in St David 2.
As the implementation of AskOtago progresses further, we will provide regular updates. You can also view the AskOtago staff information session to find out more information.
Support for staff
There are several key workshops coming soon to support staff in career choices, CV preparation and interview skills – information as follows. We also remind you that you can seek individual support through the new Career Development Advisor, and through the Employee Assistance Programme. Register early to assist us to schedule sufficient workshops to meet demand.
We are delighted to advise that Joanna Budai has been appointed by the University as a Career Development Adviser for staff who may be affected by the SSR.
Joanna Budai is the new Career Development Adviser for staff who may be affected by the SSR. Joanna, a qualified and experienced career development coach, has a particular interest in helping people make choices that are right for them both personally and professionally. Joanna will provide one-on-one confidential and impartial support.

Deciding My Future: making good job choices
A three-hour workshop developed by Jane Davis focuses on what is important to consider when making choices about future job and career options, including personal values, balance between work and personal life, identifying your strengths and taking action.
A workbook will be provided to you when you register so attendees can complete required pre-work.
CV preparation workshops
Workshops are being held to assist staff in preparing CVs and cover letters to help you present your skills, knowledge and experience effectively to prospective managers and employers.

Early registration of interest will assist us to schedule sufficient workshops to meet demand.

EAP - staff support
We remind staff that you can access personal support through the Employee Assistance Programme (EAP). A new feature is that EAP now offers financial and budgeting advice, as well as other counselling services.
EAP services are available to staff at any time through the existing provider, Stratos Ltd. EAP services are confidential to you and based on a self-referral system. There is no requirement to advise or make a request to your manager. Further information can be found in the EAP section of the HR website.
