The University of Otago has implemented VendorPanel as its end-to-end system for procurement planning, sourcing, and contract management. This platform is designed to simplify procurement processes for all users, including those who do not regularly work in procurement.

1. Procurement Planning and Sourcing

The University’s purchasing framework is pre-configured within VendorPanel so that when users input key information, such as the estimated dollar value, the system automatically recommends the appropriate procurement pathway.

2. Supplier Engagement

Suppliers interact directly with VendorPanel, submitting responses within the system. All communications, questions, and clarifications are centrally recorded. Evaluations and scoring are conducted within the platform, improving consistency, transparency, and accuracy.

3. Contract Management

The VendorPanel Advanced Contracts module has replaced the previous contracts register and adds improved functionality:

  • Central Repository: All contracts and associated documents are stored in a single, searchable location.
  • Improved Visibility: Dashboards provide insights into:
    • Key dates
    • Upcoming reviews
    • Performance indicators (KPIs)
  • Automated Alerts and Workflows: Notifications and scheduled tasks help ensure important activities are not missed.
  • Clear Ownership: The system helps define responsibility for contract management, reducing ambiguity.
  • Change Tracking: Variations and extensions are recorded in one place, providing a complete historical view.
