The AskOtago Wellington reception staff provide staff, students, patients and members of the public an efficient, friendly and courteous service on a daily basis. This includes a wide range of enquiries, such as booking spaces, site knowledge, and general enquiries and support.

Teaching room bookings

At AskOtago Wellington reception, we manage the bookings that come through Outlook calendar for the teaching spaces. This includes spaces on Levels 3, 7 and 9 of the Ward Support Block, as well as the Prefabs buildings, and some Massey teaching spaces.

Working with Facilities managers on site, we ensure the rooms are set up to standard with the correct number of seats, and necessary AV equipment.

Room booking requests for these spaces can be requested through the Shared calendars in Outlook. Local staff will have access to these. AskOtago Wellington are able to book on behalf of staff who may not have access.

These requests are sent to askotago.wellington@otago.ac.nz

We will then review the requests for any conflicts in the space.

Audiovisual equipment/Support booking

Any AV equipment or IT support can be requested at the time of booking a space.

There is a form which must be sent to the Wellington ITSS team by adding them to the Required field when sending a booking request. Please enquire with AskOtago Wellington reception if you need access to this form.

Mail services

AskOtago Wellington can assist students and staff their mailing needs.

Inbound mail is typically received weekday mornings. For outbound mail, a receptacle is located at AskOtago reception. This is dispatched between 1:00pm–2.00pm, Monday–Friday.

(Internal) Mail to University of Otago, Dunedin

AskOtago Wellington holds a range of the University of Otago's Internal mail bags, which are available on request.

Internal mail is dispatched by AskOtago Wellington between 1:00pm–2.00pm, Monday–Friday.

Internal Mail between Hanson Street, Brandon Street and Wellington Hospital is currently transferred on either Wednesdays or Thursdays. Mail moving between these sites does not require an Internal Mail bag.

CCDHB (Internal) Mail collection

This includes mail for Wellington, Kenepuru, Lower Hutt and Porirua Hospital's. Mail for the CCDHB internal mail system can be left in the AskOtago Wellington outbound mail receptacle.

The mail is dispatched from AskOtago Wellington reception to the CCDHB mailroom between 1:00pm–2.00pm, Monday–Friday.

Courier services

AskOtago Wellington can dispatch couriered goods to Local, National and International destinations. The service is also available for personal use to staff and students.

For personal use, we will advise of the cost, and you can pay by Eftpos at reception.

Couriers (traceable)

CourierPost

AskOtago Wellington reception has a range of parcel sizes that can be purchased with either a cost code, or by Eftpos. Both Signature required and Non-signature tickets are available for use.

Once processed, AskOtago can dispatch parcels into the courier network.

In coming Couriers: Parcels are typically delivered to AskOtago Reception by 11:00am weekdays.

International couriers

AskOtago Wellington reception have the ability to aid in international couriers. There are some parcel stamps at reception. AskOtago also have the ability to liaise with the Dunedin mail room for help with International courier postings.

Cleaning and furniture requests

A Cleaning job request (or complaint) can be written up in the Cleaners Job request book located at AskOtago Wellington Reception for the cleaning company staff to action. The Facilities Manager will periodically check the book to action or comment as necessary.

Visitor car parks

We have 5 bookable visitor car parks, one of these (# 1) is for Accessibility visitors. The car parks are situated outside our University of Otago, Wellington Building, accessible from the Mein Street entrance to Wellington Hospital. The car parks are sign posted with the University of Otago name and details of any booking.
