The Reception staff provide staff, students, patients and members of the public an efficient, friendly and courteous service on a daily basis with all manner of phone/room booking and teaching inquiries.
As we are often the first port of call, we would appreciate prior notice, if possible, of any visitors you are expecting. Our ext is 5541 or alternatively, come in and see us.

Teaching room bookings
At reception we are responsible for the teaching rooms on Level C and D. We ensure the rooms are set up as requested furniture wise, they are clean and are equiped with whiteboard pens, clean dusters and VGA cables.
Room booking requests for any level C and D teaching rooms/lecture theatres can be requested via the UOWIntranet (accessed only from the University network).
All booking requests are allocated a calendar generated booking ref number.

- Read information on the cover page. Follow the links if you are unsure of equipment/services offered.
- Check the room availability
- Complete a booking request form with the information of the room and services you require.
- Submit the booking request form.
These requests are emailed to resourcebookings.uow@otago.ac.nz as an Import. This means whatever you have requested will be checked and pasted into the calendar system. The bookings will be confirmed by return email. It is up to you to check the calendar and ensure the confirmation is correct.
You will not be able to delete or edit any confirmed bookings yourself. Please email us, quoting the booking reference number at resourcebookings.uow@otago.ac.nz to enable Reception staff to edit/delete your booking accordingly.
Note: No verbal requests will be accepted.
Audiovisual Equipment Booking
All equipment can be booked via the resource bookings website resourcebookings.wnmeds.ac.nz by selecting the respective tick boxes on the bottom of the booking request form.

Courier services
We provide services to Local, National and International destinations. These services are also available for personal use.
We will advise the cost and you can pay either by cash or Eftpos at Reception.
Couriers (traceable)

Bring your parcels along with the cost code to charge it to (or cash, eftpos if it’s a personal courier), and we will do the rest.
You have the option of Signature tickets, receiver has to sign for the parcel, or Non signature, these are still traceable and can be left in letterbox if needs be.
In coming Couriers: Most Parcels from NZ Couriers & Courier Post are delivered to UOW Reception approx 10am week days. There are also deliveries and pick ups by various companies at random times during the day depending on that respective courier company’s delivery schedules.

Mail services
The NZ Post mail bag for In-Coming mail is delivered approx 9.30am-10am week-days.
The NZ Post mail bag for Out-Going mail is located at Reception on level C next to the Departmental mail boxes.
You will need to put your own stamps on any mail you put in the Post bag. The out-going mail bag gets collected week-day afternoons at 4.30pm.

TNT is for International mail without stamps on. The costs will be charged to your Departments cost-centre. Please fill in the TNT form and attach to your mail. The form/s and mail box is located by the the departmental mailboxes, labeled TNT (overseas) Mail. This mail gets collected every week day at 2pm.
CCDHB (Internal) Mail collection:
This includes mail for Wellington, Kenepuru, Lower Hutt & Porirua Hospital’s. This mail is collected by CCDHB mailroom staff between 3.30pm-4.00pm week-days only.
(Internal) Mail to University of Otago, Dunedin
Please put your mail in the box marked “Mail to University of Otago Dunedin” located by the departmental mail boxes. This mail is collected and placed in the RED Overnight mail bag to the University mailroom. It is collected from Reception each week-day night at 5pm by the Courierpost courier.
Cleaning and furniture requests
A Cleaning job request (or complaint) is to be written up in the Cleaners Job request book also located at the Reception for the Cleaning company staff to action. Copies are forwarded by Reception to Joe Dodds, our Facilities Manager, for his action/comments as necessary.

When all the cleaning jobs have been actioned by the designated person/s, a signed copy will be sent back to you for your info.
Contact Reception if you require any furniture moved or repaired.
Visitor car parks
We have 5 visitor car parks, one of these (# 1) is for disabled visitors. They are sign posted with the University of Otago name and situated outside our University of Otago, Wellington Building.

Please also note these parks are for visitors only, not staff or students. Any unauthorised cars may be Towed.
